About you We are looking for an Office Assistant smiley, approachable and communicative person to ensure our office is running smoothly on a day-to-day basis. Someone highly motivated, who receives new tasks comfortably and performs them easily, to join our Corporate Services Team! Your Responsibilities - Making sure that all office processes run smoothly and efficiently
- Organizing office space, making suggestions for improvements
- Take and pass on messages to management and employees
- Answer the phone in a timely manner and direct calls appropriately
- Organizing and scheduling meetings and appointments
- Work with senior staff and provide support
- Responsible for communication with: maintenance, mailing, shipping, ordering supplies, allocating bills, and errands
- Carrying out a regular weekly/monthly inventory of the office supplies and ordering accordingly
- Manage relationships with vendors, service providers, and landlord
- Ensuring that all invoices are forwarded to Finance team
- Partner with HR and Finance to implement office policies as necessary
- Providing daily support to the HR, Finance, and IT team in office management tasks and other tasks given by the team
- Supporting the Recruitment team with social media activities and supporting event organizing
- Applying IT policy as well as being responsible for mobile phones
- Responsible for keeping records of office administrative systems (Hot Desking, Ticketing, Multisport, and others)
- Dealing with correspondence, complaints, and queries
- Supporting organization of company events
- Responsibility for buying gifts for clients and business partners
- Running errands for the office and general manager
- Greeting guests as soon as they arrive and connect them with the appropriate party
- Offering refreshments to guests
- Organizing charity events
- Copy, file, and maintain paper or electronic documents and records
- Booking dinner venues and taxi transport

Desirable- Experience working at the reception, and in administrative work
- Available 4 days a week
Conditions of employment- Initial student salary 32,00 HRK per hour
- Working hours: up to 30 hours per week
